to Change Your Music Publishing Administrator

You can change music distributors.

You can also change publishing administrators.

But moving publishing administration is different from transferring a recording between Spotify distributors.

The process involves composition registrations, collection mandates, existing contracts and royalties that may still be moving through collection societies.

A careful handover reduces the risk of missing income or creating conflicting claims.

Start with your existing agreement

Before doing anything else, read the current administration contract.

Check:

Contract term

Termination rights

Notice period

Territory

Rights covered

Collection period

Post-termination collections

Do not assume the relationship ends immediately when you cancel an online account.

Confirm what the administrator represents

Publishing administration may cover different categories of rights.

For example:

Performance royalties

Mechanical royalties

Digital publishing

Certain sync-related collections

The replacement administrator needs to understand what it is taking over.

Export your composition records

Prepare a complete catalogue file.

Include:

Song title

Alternative titles

Writers

Ownership shares

IPI numbers

ISWC where assigned

Existing publisher

Existing administrator

Territory coverage

Registration references

This becomes the basis for the transfer.

Decide the effective date

You need a clear understanding of when the previous administrator’s authority ends and the new administrator’s authority begins.

That is especially important because royalties are often reported retrospectively.

A payment received today may relate to music usage that happened several months ago.

Avoid overlapping claims

One of the biggest risks is both administrators claiming the same work, right, territory and period.

That can create conflicting registrations.

Coordinate the effective dates and mandates with the relevant services.

Don’t automatically change your distributor

The master recording and composition are separate.

Changing publishing administrator does not normally require changing:

Spotify distributor

ISRC

Master recording

Album artwork

Artist profile

You are changing the administration of songwriting rights.

Understand trailing royalties

The previous administrator may continue receiving royalties generated during the period it represented the works.

That does not automatically mean it is improperly collecting new income.

Check the agreement and relevant usage periods.

Keep access to statements wherever possible.

Verify the new registrations

After transfer, check:

Work titles

Writer percentages

Publisher names

Territories

Rights represented

Registration status

Keep confirmation from both administrators.

Monitor the first reporting periods

Publishing collections take time.

You may continue receiving historical payments through the old administrator while new collections begin through the replacement.

Reconcile statements using usage dates and rights categories rather than assuming every payment should instantly move.

Final thoughts

Changing a publishing administrator should be a controlled rights-management process.

Review the contract.

Export the catalogue.

Coordinate effective dates.

Avoid overlapping claims.

Then monitor collections until the handover is complete.

The objective is simple: your songs should continue earning without creating avoidable administration disputes.

You can change music distributors.
